    LIABILITY: Exhibitor assumes entire responsibility and agrees to protect, defend, and save the CCFP Roundtable and the Hotel and employees of the above entities against all claims, losses, and damages to persons or property, governmental charges or fines, and attorneys fees arising out of or caused by Exhibitors installation, removal, maintenance, occupancy, or use of exhibition premises or a part thereof, excluding any such liability caused by negligence of the Hotel, its employees and agents.  In addition, Exhibitor acknowledges that the CCFP Roundtable and the host hotel do not maintain insurance covering Exhibitors property, and that it is the sole  responsibility  of  the  Exhibitor  to  obtain  insurance  covering  such  losses.

    CALLING ALL EXHIBITORS 

    The Child Care Food Program Roundtable invites you to join us for our Annual Conference.

    A very limited number of exhibit tables are available to sponsors and exhibitors. Priority will be given to conference sponsors followed by exhibitors on a first-come, first-paid basis.
     

    EXHIBIT Day:
    Tuesday, October 16, 2018.  Exhibit hours are 7:30 AM to 5:00 PM; setup is at 7:00 AM. Exhibitors should plan to use the loading dock and freight elevator to the ballroom.

    FEES: 

    Exhibit table only are $75.00 each and DO NOT include lunch or conference registration. Lunches may be purchased separately for $65 each and must be eaten in the ballroom with other conference attendees. Only those exhibitors that have paid fora conference registration, in addition to table fees, may participate in the workshops.

    WORKSHOPS: exhibitors with a paid registration wishing to present a free workshop must submit a Workshop Proposal Form available at www.ccfproundtable.org on the conference page. Workshop approval is subject to space availability and subject matter.     
     
    EXHIBIT TABLES: Exhibit tables are standard 6’ x 30” 
    draped table with two chairs.
     
    ELECTRICAL HOOKUP/INTERNET ACCESS: Exhibitors should plan on bringing their own power strips and extension cords. Contact Debbie Zaragoza at dzaragoza@cdasandiego.com.  
     
    ADS: Exhibitors may purchase ad space in the conference program at the following rates: 
    • 1/4 page-$200.00 
    • 1/2 page-$400.00

    DOOR PRIZES: A fun opportunity for additional publicity for your company/product is to donate a door prize. Exhibitors who donate a door prize will be recognized at the drawing.

    DEADLINE: A completed application form and payment is due no later than August 1, 2018 (applications may be received after that date if space is available; be sure to check if you will be late).

    DELIVERIES: Exhibitors wishing to send materials to the hotel must follow these guidelines:

    ♦    The hotel charges for package handling. If any charges for  packages are incurred, you will be billed after the conference.

    ♦     Packages typically are not allowed to arrive earlier than 3 business days before the start of the conference.

    ♦     Packages must be marked as follows:   

    DELIVERIES AND FEES Special arrangements must be made for receiving any equipment, goods, displays or other materials, which will be sent, delivered, or brought into the Hotel. Failure to do this may result in deliveries being refused or material being un-available when required. Our Receiving Dock is open from 7:00 AM-4:00 PMMondaythrough Friday. Advance arrangements must be made through our Convention Services Manager for weekend deliveries.

    All packages received will be stored in a designated space and locked. Please refrain from shipping materials more than five (2) days prior to the meeting date. Please have boxes delivered to the hotel during the designated days of storage. Boxes received prior to this will be charged a $5.00 per box, per day storage fee. Any materials being sent to the Hotel must be marked as follows:

    WORKSHOP PROPOSAL 

    This years theme A Bit of CACFP Magic gives presenters an opportunity to focus on the magic of the Child and Adult Care Food Program in nutrition and overall health and wellness. 

    All proposals should reflect research and/or practical experience that is innovative, well-grounded, and consistent with the principles of effective adult learning in a conference setting.

    All applications should be submitted electronically using the online form. You may submit more than one application, but submit only one session proposal per application. The deadline for these proposals is May 31, 2018. The Child Care Food Program Roundtable Conference Committee will announce selections on or before July 1, 2018.

    PRESENTER GUIDELINES

    Presentation Length: Typically, 1.25 hours or 75 minutes 

    Training Content Priorities: Conference attendees represent CACFP professionals from diverse areas of practice. Each applicant should identify the Track that aligns with the topic of the proposed presentation so that we can ensure a variety of topics are addressed at the conference.

    Attendees’ Professional Levels: Diverse

    Presenter Registration: CCFP Roundtable offers a generous discounted $150.00 Registration Fee for presenters who wish to attend the event. It is not mandatory that a Presenter attend the event if they chose to teach their workshop and leave. However, it is mandatory that all presenters fill out a registration form for the conference as we must have an overall count of people participating in the conference. Co- presenters who wish to attend the event are offered the same discount as a presenter.

    Honorarium and Expenses: As a non-profit educational association, CCFP Roundtable does not award workshop presenters an honorarium. Travel, hotel, and other expenses are the responsibility of the presenter.

    Presenter Responsibilities: Handouts and all presentation materials will be required electronically. Deadline for electronic distribution is October 10, 2018. Printed handouts are the responsibility of the presenter to reproduce. A maximum occupancy number for your workshop room will be given in order for you to determine your printout quantity needs. In the event that the sessions attendees outnumber your handouts, all materials are posted on the CCFP Roundtable website and you can direct your attendees to the link. The information that you provide in this proposal will be used in our printed program, thank you ahead of time for paying attention to spelling, grammar and punctuation. By filling in this form you are stating that you are available to present on either conference day. Due to the large amount of workshops we are not able to accommodate individual schedule needs.

    Audio Visual: All workshop rooms will be in theater style unless otherwise noted and will include an LCD projector with screen upon request. Sound: We will provide a microphone in rooms that hold 50 or more attendees.

    Marketing Opportunities for Presenters: Presenters representing vendors or consulting firms are asked not to sell or market items within the training session. However, presenters may contact CCFP Roundtable to secure space in the exhibit area to sell their products. Presenters interested in marketing their services and materials should see the Exhibitors Information Page.

    How Sessions Are Selected: The CCFP Roundtable receives all session applications and groups them into Tracks. The Committee Chair compiles the reviewer information and submits a panel of recommendations to the Presenter Conference Committee.

    WHAT’S INCLUDED

    Your conference registration fee includes a Luncheon on Tuesday and Healthy Start Breakfast on Tuesday and Wednesday, not to mention 30 plus workshops as well as plenary and general sessions, with some of the best CACFP speakers and presenters that the CACFP Community has to offer.   

    PRE-CONFERENCE SESSION

    If you plan to attend the California Department of Education (CDE) Nutrition Services Division (NSD) pre-conference annual mandatory CACFP training session on Monday morning, October 15, 2018, you must register through the Fresno City College Cal-Pro-NET Center when registration is open.  Their Web site is: http://www.fresnocitycollege.edu/academics/career-and-technical-education/cal-pro-net-center/index.html.  Registration for the pre-conference session is not yet open.

    Registering for this conference will NOT register you for the CDE NSD annual mandatory CACFP pre-conference training session.
