    CALLING ALL EXHIBITORS 

    The Child Care Food Program Roundtable invites you to join us for our 26th Annual Conference October 23-25, 2017 at Squaw Creek Resort - 400 Squaw Creek Rd, Olympic Valley, CA 96146. 

    Your participation at the Annual Conference offers the opportunity to connect, in person, with key decision-makers in the CACFP field. This is a great way to learn more about who your customers are and what their needs may be. We value your commitment to our CACFP community. We look forward to making this a wonderful event for exhibitors and attendees. Reserve and pay for your booth space today by submitting the exhibitor contract online, a hard copy is available for your records upon request at roundtable@cfpa.net

    A very limited number of exhibit tables are available to sponsors and exhibitors. Priority will be given to conference sponsors followed by exhibitors on a first-come, first-paid basis.
     

    EXHIBIT Day:
    Tuesday, October 24, 2017 located at the Squaw Creek Resort. Exhibit hours are 7:30 AM to 5:00 PM; setup is at 7:00 AM. Exhibitors should plan to use the loading dock and freight elevator to the ballroom.

    FEES: 
    Exhibit tables are $75.00 each and DO NOT include lunch or conference registration. Lunches may be purchased separately for $50 each and must be eaten in the ballroom with other conference attendees. Only those exhibitors that have paid for conference registration, in addition to table fees, may participate in the workshops.

    WORKSHOPS: exhibitors wishing to present a free workshop must submit a Workshop Proposal Form available at www.ccfproundtable.org on the conference page. Workshop approval is subject to space availability and subject matter.     
     
    EXHIBIT TABLES: Exhibit tables are standard 6’ x 30” 
    draped table with two chairs.
     
    ELECTRICAL HOOKUP/INTERNET ACCESS: Exhibitors should plan on bringing their own power strips and extension cords. Contact Debbie Zaragoza at dzaragoza@cdasandiego.com.  
     
    ADS: Exhibitors may purchase ad space in the conference program at the following rates: 
    • 1/4 page-$200.00 
    • 1/2 page-$400.00
    • Full page-$800.00 
    (all ads in Brochures will be black and white with the exception of the ads on the web site, where they will be in color). Ads are due no later than July 31, 2017.
     
    DOOR PRIZES: A fun opportunity for additional publicity for your company/product is to donate a door prize. Exhibitors who donate a door prize will be recognized at the drawing.

    DEADLINE: A completed application form and payment is due no later than August 1, 2017 (applications may be received after that date if space is available; be sure to check if you will be late).

    DELIVERIES: Exhibitors wishing to send materials to the hotel must follow these guidelines:

    ♦    The hotel charges for package handling. Charges for packages will be billed after the conference.

    ♦     Packages may not arrive earlier than 3 business days prior to your arrival date.
    ♦   Packages must be marked as follows:

    LIABILITY: Exhibitor assumes entire responsibility and agrees to protect, defend, and save the CCFP Roundtable and the Hotel and employees of the above entities against all claims, losses, and damages to persons or property, governmental charges or fines, and attorneys fees arising out of or caused by Exhibitors installation, removal, maintenance, occupancy, or use of exhibition premises or a part thereof, excluding any such liability caused by negligence of the Hotel, its employees and agents.  In addition, Exhibitor acknowledges that the CCFP Roundtable and the Squaw Creek Resort do not maintain insurance covering Exhibitors property, and that it is the sole  responsibility  of  the  Exhibitor  to  obtain  insurance  covering  such  losses.

    Registration Information

    WHAT’S INCLUDED
    Your conference registration fee includes a General Session Luncheon on Tuesday. Not to mention 48 workshops and 4 general sessions, with some of the best CACFP speakers and presenters that the CACFP Community has to offer. 

    PRECONFERENCE SESSION

    If you plan to attend the pre-conference mandatory training session, you must register through the Fresno City College Cal-Pro-NET Center using this link.

    Registering for the conference, will not automatically register you for the pre-conference mandatory training session. 

         

    ON LINE REGISTRATION: 

    You must fill out the registration and payment on line before September 15, 2017 to be eligible for the Early Bird rate. For those of you mailing a Purchase Order for an early bird rate, it must be stamped no later than September 15, 2017.

    REFUNDS: NO REFUNDS AFTER OCTOBER 1, 2016.

    CANCELLATIONS: A $75 per organization fee will be charged for all cancellations.     

    WORKSHOP PRESENTERS’ FEE: Most workshop presenters are also conference participants therefore, presenters and/or panelists in that category are charged a reduced registration fee of $150.
